The website www.relieftime.com (hereinafter “RELIEFTIME” or the “Website”) is managed by ATHINAIKI TILEIATRIKI IKE, having its registered offices in Athens (4 Karagiorgis Servias Street, PC 10562, email: support@relieftime.gr, VAT No. 802912268, Tax Office: KEFODE Attica, GEMI No. 185169603000), which acts as the Data Controller of the personal data collected from you during your visit to our Website and your use of the services of relieftime.gr, namely any information that identifies or may directly or indirectly identify you.

RELIEFTIME treats the protection of your privacy and personal data with the utmost seriousness and has taken all necessary measures to safeguard the security and confidentiality of the information concerning visitors/Users of the Website’s services. Please read this Privacy and Personal Data Protection Policy of our Website (hereinafter the “Policy”) carefully in order to be informed about the information collected from you, as well as your rights when visiting and using its online services.

This Policy constitutes the information notice to data subjects pursuant to Articles 13–14 of the EU General Data Protection Regulation (GDPR) 679/2016. This Policy applies exclusively to the Website. Visitors/Users should note that the Website may contain links to and from other websites. In such cases, RELIEFTIME bears no responsibility whatsoever for the practices, terms of use, privacy and personal data protection policies, or the content of such third-party websites.

B. WHAT PERSONAL DATA WE COLLECT

RELIEFTIME is a Website through which visitors/Users may schedule medical appointments online by selecting a doctor of their choice from the network of healthcare professionals who maintain a profile on our Website and/or a personal website as part of RELIEFTIME’s services, receive information on medical topics of interest, or connect directly with a doctor via online communication (chat).

Furthermore, the Website enables healthcare professionals to register online in order to join the RELIEFTIME partner network by creating an online profile. Use of these services requires the creation of a user account on our Website, involving the entry of specific personal information. In cases of simple browsing of our Website, RELIEFTIME does not collect or process information that may directly or indirectly identify you, beyond technical data automatically collected during browsing, which are used solely for functionality and system security purposes.

1. Information collected automatically during your visit and interaction with the Website

Upon visiting and browsing the Website, certain information may be collected automatically, which may directly or indirectly identify you, such as:

  • your computer’s Internet Protocol (IP) address,
  • browser type and operating system,
  • websites visited immediately prior to visiting our Website,
  • basic server connection information,
  • information collected through HTML cookies, Flash cookies, web beacons, and similar technologies (see the “Cookies” section below).

2. Information you provide directly

2.1 Personal data of “visitors/Users”

A visitor/User who intends to schedule an online medical appointment or submit inquiries via the messaging service is required to create an account and, with their consent, provide the following personal data:

  • Full name
  • Email address
  • Password
  • Date of birth
  • Preferred communication language
  • Mobile phone number

To create an account, the visitor/User must accept the Terms of Use and this Policy (including the Consents) and may optionally consent to receiving newsletters from RELIEFTIME by selecting the relevant option.

2.2 Personal data of “Users/healthcare professionals”

Healthcare professionals wishing to use RELIEFTIME’s online services and maintain an online profile with appointment scheduling or online communication (chat), or in-person visits if required, must complete the online registration form. RELIEFTIME collects and processes the following data:

  • Full name
  • Username and password
  • Email address
  • Mobile phone number
  • Medical specialty
  • Short professional biography

Acceptance of the Terms of Use and this Policy is required, while optional consent may be given for receiving newsletters.

3. Personal data collected via the contact form

Visitors/Users contacting us through the contact form provide:

  • Full name
  • Subject
  • Email address
  • Message content (free text)

4. Personal data collected through online chat

Users accessing the chat service connect to RELIEFTIME without displaying their full details to the healthcare professional.

  • Chats are identified by name; only the name and email address are shared with healthcare professionals.
  • RELIEFTIME may access chat applications on a sample basis, strictly limited and solely for quality control purposes, without examining the substance of medical discussions.

5. Personal data collected with your consent

If you consent to recording telehealth sessions via VideoSDK (GDPR compliant), audio and video data may be used to assess service quality, either automatically or following a complaint. You retain the right of access to these data for health-related reasons at any time.

6. Minors

When collecting information directly from you, we take appropriate measures to ascertain which of the collected personal data relate to minors. In any event, should we determine that any personal data have been collected from a minor under eighteen (18) years of age without verifiable parental consent, as required under Article 8 of the EU General Data Protection Regulation (Regulation (EU) 2016/679), we shall immediately delete such data from our database.

If you believe or become aware that we may have collected personal data from a minor under eighteen (18) years of age, please contact the Data Protection Officer of RELIEFTIME at: legal@relieftime.gr.

Please note that, pursuant to Greek Law No. 4624/2019, minors who have reached the age of fifteen (15) have an autonomous right to the protection of their personal data and, consequently, only they themselves may exercise the relevant data subject rights (including the right of access, rectification, erasure, etc.).

When a healthcare professional joins the RELIEFTIME network, an online profile is created displaying:

D. PROFILING AND DISCLOSURE OF INFORMATION TO THIRD PARTIES

Profiling refers to any form of automated processing of personal data consisting of the use of such data to evaluate certain personal aspects relating to a natural person, on the basis of which decisions producing legal effects concerning that person may be taken.

RELIEFTIME carries out profiling of visitors/Users and User–healthcare professionals who make use of its online services for the purposes described below:

To enable visitors/Users of the Website to have their own personal and secure account page, through which they may view the cost of each medical service, their appointment history with healthcare professionals they have visited, and easily book and/or modify their appointments, as more fully described in the Website’s Terms of Use.

RELIEFTIME takes all necessary measures to safeguard the rights and legitimate interests of its visitors/Users in the context of profiling, by (a) providing, through automated means, the right to object to visitors/Users who receive personalized medical informational material, and (b) implementing all necessary measures to ensure the effective exercise of the right to object, as well as to protect the professional reputation and integrity of User–healthcare professionals, in accordance with the Website’s Terms of Use.

RELIEFTIME respects your privacy and shares visitors’/Users’ information only under certain circumstances. We make information relating to you available to other companies, applications, or individuals in the circumstances described below. For example, we may engage third parties to provide services related to our Website and/or the management of RELIEFTIME’s telephone communications, such as database management, maintenance services, call center services, and online marketing activities. Such third parties will have access to your information solely for the purpose of performing these tasks on our behalf.

Furthermore, we may disclose your information to cooperating physicians in order to serve your medical needs, for example when you submit medical-related inquiries to us via our email address at support@relieftime.gr, through RELIEFTIME’s social media platforms, or through messaging services. Such inquiries are forwarded to the relevant physicians within the RELIEFTIME network, as appropriate.

We may also disclose information relating to you in the event that our Website is acquired by or merged with another company, or in the event of a similar corporate transaction. In such cases, the Website will notify you by posting a prominent notice within its environment or by sending a notification to the primary email address specified in your account, prior to the transfer of your personal data and their subjection to a different privacy policy.

Please note that third parties may independently collect data relating to you, including your IP address and information regarding the websites and links you visit, through cookies and general browsing activity across websites or other media, during your visit to or viewing of advertisements on our Website. For further information, please refer to the “Cookies” section below.

RELIEFTIME does not sell the personal data of its visitors/Users. Personal data may be disclosed to third parties exclusively for the purposes set out in this Policy and for the provision of RELIEFTIME’s online services. RELIEFTIME contractually ensures that all third parties processing personal data on its behalf implement the required measures to ensure the security and confidentiality of such data.

E. DATA RETENTION PERIOD

RELIEFTIME shall retain the personal data it collects, whether in electronic and/or hard copy form, only for the strictly necessary period required to fulfill the aforementioned purposes of processing and for such additional period as may be necessary to comply with a legal obligation or to safeguard its legitimate interests before courts or other competent authorities.

Medical record data are retained for a period of ten (10) years, and any recorded video consultations are also retained for a period of ten (10) years.

F. INFORMATION SECURITY

RELIEFTIME implements all necessary technical and organizational measures to ensure the security and protection of your personal data against accidental or unlawful destruction, loss, unauthorized alteration, disclosure, access, or any other unlawful processing. These measures are regularly reviewed and updated. However, notwithstanding RELIEFTIME’s good faith efforts and all reasonable measures to store Users’ personal data in a secure operational environment that is not publicly accessible, it should be noted that complete or absolute security cannot be guaranteed.

Visitors/Users must immediately notify RELIEFTIME or its Data Protection Officer in the event that their contact information is lost, stolen, or used without authorization. In such cases, RELIEFTIME will remove the relevant contact information from the User’s account and update its records accordingly.

When a visitor/User submits information to the RELIEFTIME website via online forms or email, for the purpose of requesting a service or facilitating a service from RELIEFTIME, such information must be provided accurately and correctly. The information submitted by the visitor/User to fulfill their request is considered confidential and will only be disclosed to the relevant parties and competent authorities in accordance with applicable law, if the visitor/User’s use of the website violates RELIEFTIME’s Terms of Use or applicable Greek law. Such disclosure may be deemed necessary, in particular, when a visitor/User’s use of the RELIEFTIME website breaches operational rules. In these circumstances, all information related to that visitor/User, including their IP address, may be included in any investigation required to protect RELIEFTIME’s rights.

Information submitted to the RELIEFTIME Website must not contravene Greek law, good internet practices, or be altered by the visitor/User or knowingly by others. Such data may be used by RELIEFTIME without any claim against it by the submitting visitor/User. Each visitor/User is responsible for their use of RELIEFTIME’s services and may only use them for lawful and legitimate purposes. Visitors/Users are prohibited from using RELIEFTIME in any manner that could damage, disable, or impair its servers or networks, or interfere with the use of the services by other visitors/Users. Visitors/Users are also prohibited from creating fake accounts for other purposes or collecting or storing personal data of other Users in any manner.

RELIEFTIME reserves the right to seek compensation for any damage (actual or consequential) resulting from violations of these prohibitions by a visitor/User and to take any related legal action, including remedies, injunctions, or court measures, to prevent breaches of these Terms and safeguard its reputation and credibility.

RELIEFTIME also reserves the right, without limitation, to:a) record and store all communications between a visitor/User and the Website, including emails, inquiries, and responses to its partners, doctors, or other individuals; b) investigate any complaints in the event that communications do not comply with these Terms of Use and, at its discretion, remove or require the removal of such communications;
c) remove communications or data submitted by a visitor/User that are considered offensive, unlawful, or objectionable, or that do not comply with RELIEFTIME’s Terms of Use; and
d) delete registered members who fail to comply with the Terms of Use, following appropriate prior notice.

G. YOUR RIGHTS

You may exercise, as applicable, the following rights:

  • Right of access, to know which of your data are being processed, for what purpose, and the recipients thereof;
  • Right to rectification, to correct any inaccuracies or incomplete data;
  • Right to erasure (right to be forgotten), to have your personal data deleted where processing is no longer necessary;
  • Right to restriction of processing, where the accuracy of your data is contested;
  • Right to data portability, to receive your data in a structured, commonly used format;
  • Right to object, in particular if you do not wish your data to be used for direct marketing purposes, including objection to profiling. RELIEFTIME provides automated objection options in every electronic communication sent to visitors/users who hold an account with RELIEFTIME.

You may delete your personal data by accessing your profile and selecting “Delete Account.” To exercise any of your data subject rights, please submit a written request to the Data Protection Officer of RELIEFTIME via email at legal@relieftime.gr or by post to: 4 Karagiorgis Servias, Postal Code 10562, Athens, Greece.

RELIEFTIME is committed, to the extent technically feasible, to providing automated means to exercise your rights and to fulfilling your requests free of charge. However, if your requests are frequent and impose a disproportionate administrative burden on us, you may be charged a reasonable fee corresponding to the administrative costs incurred.

RELIEFTIME will make every effort to respond to your request within thirty (30) days from receipt. In cases where the complexity of your request or the volume of information prevents completion within this period, RELIEFTIME will notify you in writing of the reasons for the delay within the same timeframe.

RELIEFTIME reserves the right to decline your request where it is manifestly unfounded, excessive, or abusive, providing you with an explanation for the refusal.

In any case, you have the right to lodge a complaint with the Hellenic Data Protection Authority (HDPA). Complaints may be submitted in writing to the HDPA’s registry (Kifisias 1-3, Postal Code 115 23, Athens, Greece) or electronically via www.dpa.gr.
